Make an Activeboard shareable
Click the ellipsis button next to your current Activeboard name and select the Share Activeboard option to make your Activeboard shareable. This means that you can now assign it to specific roles and enable their users to view them.
A note on shareable activeboards
Due to security restrictions, users with a role that does not have the Manage domain user resources permission cannot edit an Activeboard after selecting the Share Activeboard option, not even the Activeboard owner. A good practice is cloning the Activeboard before making it shareable so that you can keep on editing it without any problems.
Assign an Activeboard to a role
To assign a shareable Activeboard to a role, go to Administration → Roles from the navigation pane, select the required role from the left panel and click the Activeboards tab. You will see your shareable Activeboards in the Available area. Select the required one and move it to the Selected area using the arrow icon.
In the following example, we are giving our Business Analysts role access to the Business Monitoring Activeboard. Learn more about roles and how to manage them in Managing roles.
Important note on sharing activeboards
When you share an Activeboard with a role, you always share it in view-only mode, that is, users can only see the widgets data but not edit them—unless the role has the Manage domain user resources permission.
Users whose role has this permission can view and edit all the Activeboards in their domain, no matter if they have been shared with their role or not. This means that you must add this permission to a role you shared an Activeboard with if you want their users to edit it. In the example above, users in our custom role (Business Analysts) are given access to the Business Monitoring Activeboard; however, this role does not have the Manage domain user resources permission, so users will only be able to access the Activeboard in view mode.
Shareable Activeboards are represented with this iconin the Activeboard manager. When you open a shareable Activeboard, this icon also appears next to its name.
